Procedures for identifying bodies external to Sipex

What are external bodies to Sipex

External bodies are bodies obtained when importing information from databases external to Sipex. Examples of external databases include ISI – WoS (Information Sciences Institute – Web of Science).

When importing information, such as productions, projects, etc. from external databases, the bodies linked to this information need to be identified and they must all have their correspondent in Sipex. This needs to be done so that the information after import remains consistent in the Sipex database.

Who can identify external bodies

1. All users authorized to use the Unit’s Sipex.

2. All Sipex researchers at the Unit.

Information presented on the organ identification screen

On the external bodies identification screen there are two tabs, “Bodies to be identified” and “Bodies already identified”:

The “Bodies to be identified” tab displays a list of external bodies obtained from external databases and whose counterparts have not yet been identified in Sipex.

The “Bodies already identified” tab displays a list of external bodies and their correspondents already identified in Sipex.

Note: Some external bodies on the list have already been automatically identified by Sipex.

How to identify external organs

1. In the “Organs to identify” tab:

1.1. Select the option identify researcher “Identify item”.

1.2. The system will search the Sipex registry for bodies similar to the one selected. The screen “Identification of Organs External to Sipex” will then be displayed, where a list of similar organs can be presented, if found.

1.3. To match the external body with the Sipex body, select the option Select “Select” from the screen.

1.4. If there is no corresponding body in the list, you can search for the body by selecting the “Search” option.

1.5. The screen “Confirmation of Identification of an External Body to Sipex” will then be displayed, where a list of external productions that have the selected external body can be presented.

1.6 When confirming identification, the body will be displayed in the “Bodies already identified” tab.

2. In the “Bodies already identified” tab:

2.1. Select the option identify researcher “Identify item”.

2.2. The system will search the Sipex registry for bodies similar to the one selected. The screen “Identification of Organs External to Sipex” will then be displayed, where a list of similar organs can be presented, if found.

2.3. To match the external body with the Sipex body, select the option Select “Select” from the screen.

2.4. If there is no corresponding body in the list, you can search for the body by selecting the “Search” option.

2.5. The screen “Confirmation of Identification of an External Body to Sipex” will then be displayed, where a list of external productions that have the selected external body can be presented.

2.6 When confirming the new identification, the organ will continue to be displayed in the “Organs already identified” tab.

2.7. Select the option identify researcher “Undo item identification”.

2.8. The screen “Confirmation of Identification of an External Body to Sipex” will then be displayed, where a list of external productions that have the selected external body can be presented.

2.9. When confirming de-identification, the selected body will lose its current link and will be displayed in the “Bodies to identify” tab.

Note: The organ identification and de-identification process can be redone as many times as necessary and at any time.
