GT 7 – Standards for Security and Hygiene Training during the pandemic

Report GT-07/2020 

1. Presentation 

On June 17, 2020, the Rectory designated Working Group 7 with the publication of the Ordinance 

GR-45/2020, with the aim of organizing training in Safety, Sanitary Measures and 

Personal and Environmental Hygiene during the COVID-19 pandemic, through courses 

online for students, teachers, employees, researchers, contractors, in the areas 

academic and health sector. 

This document presents the progress of the Group's work to date and also 

a proposal for its action in the short term, which can be readjusted based on the 

definition of the University regarding the start date of the gradual return to activities 

face-to-face, still undefined. 

To carry out the proposed work, GT 07 is considering: 

• The General Plan for the gradual return to the University’s in-person activities, which 

establishes the scheduling and differentiation of audiences and activities carried out; 

• The general protocols recommended by the Ministry of Health and State Government 

from São Paulo, with the validation of GT 06 within the scope of Unicamp; 

• Specific protocols being developed by the other Working Groups 

designated by the Rectory, who determine new procedures for the use of 

common spaces and flows of people on campus; 

• Training strategies and formats suitable for different audiences to be 

trained, mediated or not by technology. 

The Group does not yet have all the information to format its training in 

complete, as it depends on the protocols defined by the other GTs, in the process of 

elaboration. However, we present in the document a set of premises, actions already 

carried out and actions planned to achieve the objective proposed for the GT. 

We consider training here as a set of actions that begin with the organization 

of content in different formats and levels of coverage, go through its production and

availability to identified audiences and niches and ends with monitoring of 

training indicators. The GT understands that occasional 

actions of Unicamp, as employer, in cases of non-participation of employees 

training or non-application of the content covered therein.

Members’ contributions to the Group are linked to their respective areas of activity 

at the University, covering a large part of the profiles necessary for the development of 

activities required of the GT. Still, we will need to rely on external professionals

to the group to carry out the steps related to editing the video classes, as we do not have 

professional group in the area. 

3. Interfaces 

Training will be offered considering the internal protocols defined by others 

GTs, especially those that refer to the different niches that exist on campus. 

Therefore, internally, we await the protocols of the following WGs on their themes 

Specifics: 

• GT 01 - Acquisitions: acquisitions and hiring can, to some extent, 

require greater detail on some aspects covered in the training. 

• GT 02 - Restaurants: protocols for use and access to these spaces 

will integrate the scope of training, both for users and, eventually, 

for servers in the area. 

• GT 03 - Housing: the defined protocols may integrate the scope of training, 

considering employees, residents and visitors of Student Housing. 

• GT 04 - Common Spaces: defined protocols will integrate the scope of training, 

in relation to access and use of classrooms, laboratories, service areas and 

other specific areas with a large flow of people. 

• GT 05 - Safety: protocols will integrate the scope of training in relation to 

waste disposal, use of circular and chartered buses, automobiles, flows of 

pedestrians, canteens and social spaces on campus. 

• GT 06- Procedures and guidelines regarding medical monitoring, 

epidemiological, vaccination and community testing should be part of the scope of 

training, aiming at adequate guidance from the internal community to guarantee their 

return safely to campus. 

• GT 09 - Organize the University's communication with the external and internal community 

during the COVID-19 pandemic, which is strongly related to the actions of 

training and development, insofar as the educational actions proposed therein 

will need to reach all audiences. 

• GT 10 - Specific issues not addressed in the other GTs may eventually be 

addressed in this GT, responsible for systematizing the responses and Specific Plans 

of bodies and units.

4. Development of work 

The GT met in two meetings (26/06 and 02/07/2020), with the significant participation of 

its members and with the sharing of various materials, with the aim of building 

proposal for general and specific training. The work began by analyzing and validating: 

• Partial content already developed by Educorp, SVC and specialists in the field of 

infectious diseases from FCM/HC/CAISM; 

• Materials on similar protocols and training carried out by other organizations, 

public and private; 

• Content presented by group members. 

Subsequently, the Group compiled proposals for posters produced in the different WGs, 

forwarding them to GT 06, for standardization of technical content. According to 

alignment between the GT coordinators, GT 09 will prepare a visual identity proposal 

single for all materials and videos used in the return to activities process 

face-to-face at the University. 

Considering strategies to promote learning among different audiences, the Group 

defined the following premises: 

• All material produced must use language and strategy that aim to generate 

a welcoming, caring and safe environment for employees and all 

audiences who attend Unicamp; 

• The different training materials must reach all audiences in the 

University, in formats suited to each of them. Considering that part of the 

internal public may not have access to the internet and video classes, we discussed the 

possibility of preparing printed material about the protocols, such as posters, 

booklets and banners, in addition to animations and video classes, which will make up the material 

relating to training; 

• The different materials produced must communicate the paths/contacts for 

resolution of specific issues not explained; 

• Although in different formats, the materials produced must have identity 

single institutional;

• Introductory content/video must be produced, presenting basic information 

the pandemic and its contextualization at the University; 

• The virtual learning environment must enable monitoring of indicators 

participation of Unicamp's internal public (teachers, employees from all 

careers and students) without, however, hindering access to training. 

The training will cover basic and general content common to the entire community 

university and specific themes with procedures and protocols restricted to certain 

user niches or areas. At the current stage of work on GT 07, we plan to carry out 

of the following video lessons, each not exceeding 10 minutes in length, with the 

following preliminary notes: 

1. Video lesson 1 

Introductory video with a broad approach to COVID 19, containing main 

symptoms, history, research and international indicators, in Brazil and at Unicamp. 

Actions and campaigns carried out and ongoing at the University related to the pandemic, 

actions adopted to enable the return to face-to-face activities safely, with good 

welcome to campus and training. 

2. Video lesson 2 (general training) 

Individual behaviors and care to protect health, such as: mandatory 

testing for COVID 19, daily use of the application to assess health conditions; H1N vaccination1, hand hygiene, use, hygiene and disposal of 

masks, respiratory etiquette, hygiene of cell phones, bags, keys, cards and 

other individual belongings. 

3. Video lesson 3 (general training) 

Individual behaviors and care to be adopted in your work environment 

work, such as cleaning frequent touch surfaces, accessing buildings with 

of sanitizing mats2, use of elevators and stairs, approaches and greetings, 

use of drinking fountains, toilets, internal flow of people and waste disposal, 

processing of physical documents and receipt/delivery of materials and orders, 

providing services.

4. Video lesson 4 (general training) 

Use of charters and circulars and flows of cars, bicycles and pedestrians in the 

campus and proper waste disposal. 

5. Video lesson 5 (general training) 

Use of university restaurants, cafeterias and other food services 

on campus and sectoral pantries and correct use of individual utensils or 

disposable items and their disposal and/or hygiene. 

6. Video lesson 6 (specific training: teachers and students) 

Procedures and behaviors to be adopted in classrooms and laboratories; 

remote classes, outdoor classes, in-person classes in practical activities for students of 

end of course, distancing, use of masks and/or face shields for teachers, 

surface cleaning, material sharing and waste disposal. 

7. Video lesson 7 (specific training: security guards) 

Instructions on all current protocols, aiming to provide guidance 

suitable for internal and external audiences on campuses, including outsourced companies. O 

training should prioritize an educational approach to obtain adherence from the 

target audience, especially in the case of postures and behaviors that are inconsistent with 

to those recommended in the protocols. 

8. Video lesson 8 (specific training: managers and directors) 

Instructions on all current protocols, so that managers and directors 

able to effectively and safely guide their teams regarding the 

correct procedures and referrals. Training must enable 

opportunity to welcome and clarify doubts, you must consider the role and 

of the manager in promoting the engagement of their teams and peers for adherence and adoption 

of the procedures and behaviors established in the protocols and must address 

aspects related to your and your team’s emotional well-being in the face of the new 

scenario imposed by the pandemic. The course must also address the responsibility of the 

manager regarding compliance with protocols, on his part and that of his team, 

presenting approaches that correct and guide expected behaviors,

also indicating the paths for forwarding and solving possible 

non-compliance with protocols established by the University. 

9. Video lesson 9 (specific training: CIPA members) 

Instructions on all current protocols, considering the need for 

disseminate protocols among all Unicamp servers, providing guidance for their 

compliance and referrals provided for in cases of non-compliance. 

10. Video lesson 10 (specific training: health professionals) 

Even though health teams have already undergone various training in 

beginning of the pandemic, specific protocols for the area on 

donning and doffing, use, packaging, hygiene and 

disposal of masks, hand hygiene and other specific protocols 

related or not to the fight against COVID 19. 

Depending on the level of specificity presented in the protocols of the other groups, 

We assess that it may still be necessary to develop specific training for 

servers in the following areas: a) University Restaurants, considering new 

procedures for producing and distributing meals to the public served; and b) 

DEPPU/DEDIC, considering the care of children on campus. 

There is also the prospect of using gamification as a strategy for fixing the 

content presented in the video classes and to obtain participant engagement, to be 

developed in partnership with the COVID 19 Observatory GT. 

Additionally, it is intended to enable the creation of short videos using software 

animation, containing some of the main aspects covered in the video classes. Such videos 

will be used in communication and public engagement strategies, led by the 

GT 09 – Communication, which will ensure its dissemination through communication channels 

more appropriate institutions. 

Details of the specific modules will be built as soon as we have the definitions 

regarding all training protocols.

It is expected that the preparation, production and availability of training will be organized 

based on the following planning and schedule. We are certainly not done with this planning. 

all the actions that the project will require, but we identify the main steps in a 

preliminary time perspective for completion and delivery.

6. Referrals 

We must mobilize the members who will work in specific stages, moving forward with each 

one of the planned steps. It is at this moment that we foresee the need to include 

other profiles to the group to carry out specific activities for editing and finalizing the 

video classes and short videos (pills) for dissemination among different audiences. 

Another important aspect refers to the integration of the Moodle Platform with the Senior System, 

aiming at the automatic generation of certificates or information on participation in training, 

which must be accompanied by terms of awareness and compliance with protocols 

presented. This integration will enable the management of the public already trained and capable of 

return by the Units' HRs together with the DGRH/DSO, which already have a flow of 

similar work in other processes.

In this sense, there is a pending demand from EDUCORP with GGTE and TI/CGU to 

creation of a specific Moodle instance to enable the interface between this platform and the 

Senior System. In addition to enabling the management of information for this training 

specific, it will also solve the School's problem by automating a large part of its 

academic and management processes. 

Regarding the date of return to face-to-face activities - this date determines the deadline 

limit for carrying out our work - we are working with the hypothesis of resumption 

In September. In the perspective of returning on a date other than this, we will adjust our 

schedule for completing and making training available to the public in a timely manner. 

And, in conclusion, we highlight the need to provide regulation regarding the linking 

from participation in training to return, regarding the moment of its completion 

(prior to or concomitantly with the return), regarding its obligation, for which 

public and possible collection mechanisms, if applicable.
